LED Strip Pre-Shipment Inspection: AQL and QC Checklist

The short answer

A useful LED strip pre-shipment inspection does five things: it identifies the exact production lot, compares it with an approved specification and sample, checks a defined random sample, separates critical defects from major and minor ones, and records enough evidence to support a release or hold decision.

Do not write “inspection required” on the purchase order and leave the rest to the inspector. State the sampling standard, inspection level, AQL values, critical-defect rule, measurements, test equipment and acceptance limits before production starts. Safety-related and shipment-wide checks may need 100% verification even when appearance is sampled.

Freeze the inspection basis before production

The inspector cannot decide whether a strip is correct if the approved version exists only in chat messages. Put the following documents in one inspection pack:

  • purchase order and final model code;
  • approved data sheet with revision number;
  • signed or clearly identified reference sample;
  • approved label, inner-box and carton artwork;
  • agreed tolerances for power, dimensions, color and reel length;
  • defect list and photographs of known unacceptable conditions;
  • inspection plan, report template and release authority.

The lot must also be identifiable. Record the total quantity, number of cartons, models, color temperatures, IP constructions and production batches. Mixed models should not be treated as one homogeneous lot simply because they ship under the same invoice.

Define the unit being inspected

One “unit” might mean a reel, a five-meter set, a connector kit or a retail box. Write the definition down. If one carton contains ten reels, checking one carton label is not the same as checking ten products.

For mixed orders, sample each model or use a written stratified plan. A small quantity of a high-risk waterproof model should not disappear inside the sample size of a much larger indoor-strip order.

Use AQL without hiding critical defects

The current edition, ISO 2859-1:2026, defines AQL-indexed sampling schemes for lot-by-lot inspection by attributes. It includes single, double and multiple sampling plans as well as rules for normal, tightened and reduced inspection.

AQL is not a promise that the shipment contains exactly that percentage of defects. It is an input to a sampling system. The lot size, inspection level and chosen AQL lead to a sample size and acceptance/rejection numbers in the standard. Use a licensed copy or an inspection company’s controlled system; do not copy an unexplained online AQL table into a purchase order.

Before the inspection, buyer and supplier should agree:

  1. What forms one lot.
  2. Which edition of the sampling standard applies.
  3. The inspection level and sampling plan.
  4. Separate AQL values for major and minor defects.
  5. Whether critical defects allow zero findings in the inspected sample or require a different control.
  6. What happens after a failed inspection.

There is no universal AQL setting for every LED strip order. A private-label retail set, a hotel project and a basic distributor reel have different failure costs. The buyer should set limits from product risk, destination requirements and the consequences of field replacement.

Three defect classes that people can actually use

These examples are a starting point, not a finished defect catalogue. Convert them into model-specific descriptions with photographs and measurable limits.

What to inspect on LED strip orders

1. Quantity, model and traceability

Count cartons and verify packed quantity against the packing list. Open cartons across the pallet or container load, not only those nearest the door. Compare reel, bag, inner-box and master-carton labels. Model code, voltage, color or CCT, reel length and batch reference should agree.

Scan any customer barcode with the device used at receiving. A barcode that looks sharp can still contain the wrong data.

2. Construction and workmanship

Check PCB width, cut marks, component layout, solder joints, wire position, connector orientation, adhesive backing and reel winding. Look for cracked solder, lifted pads, contamination, silicone voids, crushed extrusion and sharp bends near cable exits.

Measure dimensions with suitable tools. A phone photograph beside a ruler is evidence of appearance, not a precise dimensional result.

3. Electrical and optical function

Power the sample at its rated voltage with the specified driver or controller. Record input voltage, current and power after a defined stabilization period. Compare results with the agreed tolerance, not with a generic website value.

Check start-up, dimming, color-channel order and controller response where applicable. Run enough length to expose connection and voltage-drop problems. A ten-centimeter test piece cannot validate the brightness uniformity of a long powered run; use the project’s feed arrangement or the manufacturer’s approved maximum run.

For CCT, chromaticity, CRI or flicker acceptance, use appropriate calibrated equipment and an agreed method. A lux meter alone cannot confirm CRI or color tolerance.

4. Waterproof construction

An IP label does not prove that every cut end and connector in the shipment is sealed. Verify the specified extrusion or coating, end caps, cable entries, adhesive or sealant, cure condition and included accessories. Destructive sectioning may be useful on a small agreed sample to inspect voids and wall thickness.

If ingress testing is required, define the test method, sample preparation and post-test acceptance criteria before the order. 5. Reel, bag, carton and shipment condition

Confirm reel winding, end restraint, bag seal, desiccant or ESD requirement where specified, inner protection and carton condition. Record carton dimensions, gross weight, net weight, shipping marks and pallet condition. Turn the inspection into a shipment decision

The report should show the lot, sample size, selected carton numbers, instruments, readings, defect counts, defect classification and photographs. Photographs should include the product label and enough context to connect the finding to a model and carton.

A simple disposition has four states:

  • Release: the inspection meets the agreed plan and no separate hold remains.
  • Rework and re-inspect: defects can be corrected and a new inspection will be performed.
  • Conditional release: the buyer accepts a clearly documented deviation. This requires written authority.
  • Reject or hold: the lot cannot ship until the buyer approves corrective action.

Passing a random inspection does not guarantee that every unit is defect-free. It means the sampled results met the agreed acceptance plan. Keep the report, approved sample and production batch reference so a later claim can be traced.

When a failure occurs

Ask for containment first: which cartons and batches may be affected, and how are they separated? Then require root-cause and corrective-action evidence appropriate to the problem. Rework should be verified, not assumed. A second inspection needs a defined sampling basis and should not quietly ignore the original failure.

Inspection requirements to put in the RFQ

Send these points with the quotation request:

  • product model, configuration and quantity by batch;
  • approved sample and specification revision;
  • inspection timing and location;
  • sampling standard, edition, level and AQLs;
  • critical, major and minor defect definitions;
  • measurements, tolerances and required instruments;
  • powered-run length and electrical test setup;
  • waterproof or destructive checks, if any;
  • packaging and label checks;
  • report format, release authority and re-inspection rule.

If the model is not yet fixed, start with the product catalog and send the application, voltage, IP construction, reel length, destination and quantity through the project quote form. The inspection plan should follow the final product definition, not precede it.
