How to Split an LED Strip Bulk Order Across Multiple Project Sites

LEDStripStar Engineering Team 6 Minutes Read

Split a bulk LED strip order with a destination schedule linked to the purchase order’s exact product specifications. Reconcile the total metres before packing, then agree which reels and cartons belong to each site. Buying one specification in bulk does not automatically mean the supplier will make several deliveries, prepare site kits or accept several small orders at the same price.

The destination schedule helps prevent the correct product reaching the wrong project, or the main warehouse retaining material needed for installation. Specify physical protection separately using the wholesale packaging guide, which covers materials and carton details.

Keep product identity separate from site identity

Give each specification a stable SKU reference. Model, voltage, CCT, width, construction and reel format belong in that reference or its linked description. A label such as “white COB for Site A” is too vague when another site uses a different white or voltage.

For example, the 8mm CRI95 COB catalog entry includes DC12/24V variants and several color choices. Select the intended variant; do not copy the whole option list into a purchase order and expect the packing team to choose.

Create one row per SKU and destination. Record the requested metres, reel count after the format is agreed, site receiver and required arrival window. Keep the purchased specification total visible above the allocation rows.

Allocation for one confirmed SKUMetresDestination responsibility
Site A1,200Confirm receiver, unloading and storage
Site B900Confirm installation schedule and delivery access
Site C600Confirm matching material for adjacent areas
Central reserve300Name the person authorized to release spares
Purchase-order total3,000Must equal all allocations combined

This is an illustrative schedule, not a quote or delivery commitment. LEDStripStar’s standard MOQ is 500 m per specification; OEM/private-label MOQ is 2,000 m per specification. Dividing a purchased quantity among destinations does not change that rule. Check the multi-SKU MOQ guide before combining different CCTs or constructions in a total.

Reconcile the reel format before counting cartons

Confirm available reel lengths before issuing the final allocation. If a schedule assumes a reel format that is unavailable, its counts will be wrong even when the metre total is correct. Distinguish factory reels from installer-cut sections; do not assume that site-specific cutting, soldering or sealing is included.

For a planning example only, 1,200 m in confirmed 5 m reels would require 240 reels. That arithmetic does not establish that 5 m is the supplied format for your chosen SKU. Once the format is agreed, reconcile metres, reels and cartons against the final packing list.

Keep procurement allowance and central reserve separate from installation quantities. Otherwise, the same spare metres can be counted once in the site’s drawing estimate and again in the warehouse reserve. Where one visible installation spans several cartons, record the agreed batch allocation and avoid unreviewed substitutions between sites.

Ask the packing contact to confirm these details in writing:

  • The destination code on the outer carton and its relationship to the packing list.
  • The exact product reference on each reel or bag, without covering polarity or cutting marks.
  • The carton numbers assigned to each destination and the quantities inside.
  • Whether mixed-SKU cartons are allowed, and how their contents are separated and identified.
  • Who provides the labels and whether sorting or special packing has an additional cost.

Site codes do not replace product or batch identification. Retain both so a receiver can check the strip independently of the shipping label.

Choose warehouse receipt or direct site delivery

ArrangementUseful whenCheck before accepting
One delivery to the buyer’s warehouseThe buyer can inspect and redistribute materialSpace, labor and responsibility for sorting and onward transport
Supplier-prepared site groups in one shipmentThe warehouse needs a quick dispatch processWhether cartons are genuinely grouped and the list matches each group
Separate deliveries to sitesSites have independent deadlines or receiversWritten agreement on transport, documents, charges and shipment responsibilities

Separate destinations can introduce different arrival dates and handling arrangements. Ask for a quotation that covers the dispatch plan and its costs. International deliveries to different destinations need logistics review; this schedule is not customs or tax advice.

If a site cannot receive all its material, state where it will be held and who bears responsibility for storage. Do not rely on a delivery date that has not been confirmed for the final product and shipping arrangement.

Give receivers a check they can complete

Send each site its own allocation extract before dispatch. The receiver should compare carton codes, product variants and quantities with that extract, record damage or missing cartons, and keep identification for any disputed reels. Electrical sample checks must use the correct supply and safe handling; do not energize a tightly wound reel.

Freeze the allocation revision used for packing. A later change should name the old and new quantities, affected carton numbers and the person approving the change. Confirm whether the shipment can still be repacked before promising a site transfer.

When requesting a bulk-order quote, attach the product total and destination schedule as separate documents. Ask the supplier to acknowledge the reel format and packing scope, with the dispatch arrangement recorded alongside them. Give purchasing, packing and installation teams the same confirmed revision.
